Split pooled tips fairly across team members with custom rules
How to Use This Tool
Start by entering your total pooled tip amount in the "Total Tip Pool" field. Select your preferred distribution method from the dropdown: choose by hours worked, role weight, equal split, or custom percentage.
Add staff members using the "Add Staff Member" button. Fill in each staff member's name and any method-specific details (hours worked, role, or custom percentage). Remove staff members if needed using the ✕ button next to their entry.
Click "Calculate Payouts" to generate a detailed breakdown of each staff member's share. Use the "Reset Form" button to clear all inputs and start over. Copy the full results to your clipboard using the copy button in the results section.
Formula and Logic
The calculator uses different logic based on your selected distribution method:
- By Hours Worked: Each staff member's payout is (Staff Hours / Total Team Hours) × Total Tip Pool. Role weights are ignored here.
- By Role Weight: Each role has a preset multiplier (Server = 1.0x, Bartender = 1.1x, Host = 0.8x, Manager = 1.2x, Other = 1.0x). Payout is (Staff Role Weight / Total Team Weight) × Total Tip Pool.
- Equal Split: Total Tip Pool is divided evenly by the number of staff members. All role or hour data is ignored.
- Custom Percentage Split: Each staff member's payout is (Custom Percentage / 100) × Total Tip Pool. Ensure all custom percentages add up to 100% for full distribution.
Any rounding discrepancies (from 2-decimal place limits) are added to the last staff member's payout to ensure the full tip pool is distributed.
Practical Notes
For small businesses and service teams, consistent tip distribution rules reduce disputes and improve staff morale. Keep these trade-specific tips in mind:
- Role weights should reflect local minimum wage laws and tip credit rules for tipped employees in your jurisdiction.
- For hourly distributions, only count hours worked during the tip pool period (e.g., a single shift, not weekly hours).
- Custom percentage splits are useful for commission-based tip structures or pre-agreed split arrangements with staff.
- Always retain written records of tip distributions for tax reporting purposes, as tips are taxable income for staff in most regions.
- Adjust role weights periodically to reflect changes in staff responsibilities or local wage benchmarks.
Why This Tool Is Useful
Manual tip splitting is prone to errors, especially for large teams or high-volume tip pools. This tool eliminates calculation mistakes, ensures fair and transparent distributions, and saves managers hours of administrative work per shift.
It supports multiple common distribution methods used in restaurants, bars, salons, and other service-based businesses. The detailed breakdown and copy functionality make it easy to share payouts with staff or add to payroll records.
Frequently Asked Questions
Can I adjust role weights for my specific business?
Yes. While the tool includes preset role weights common in the service industry, you can modify the weight values directly in the role dropdown's HTML if you have basic coding access, or use the custom percentage method to set exact splits for each role.
What if my custom percentages don't add up to 100%?
The tool will still calculate payouts based on the total percentage entered. For example, if total custom percentages are 90%, the remaining 10% of the tip pool will be added to the last staff member's payout. For full distribution, ensure percentages add to 100%.
Is this tool compliant with tip reporting laws?
This tool is a calculation aid only. You are responsible for ensuring your tip distribution practices comply with local labor laws, tax regulations, and tip credit rules in your region. Consult a payroll professional for compliance guidance.
Additional Guidance
Share the calculated payout breakdown with all staff members immediately after calculation to maintain transparency. For businesses with high staff turnover, save preset distribution rules (e.g., role weights, common split percentages) to speed up future calculations.
If you handle large tip pools (over $5,000 per shift), consider cross-checking results with a manual calculation for the first few uses to ensure the tool's logic matches your internal policies. Update staff lists regularly to remove inactive team members and add new hires.
